This Privacy Policy describes how your personal information is collected, used, and shared by Work Girl whenever you visit us or make a purchase through our website (the 'Site').

For the purposes of this notice and compliance with the General Data Protection Regulations 2016 (GDPR) / Data Protection Act 2018, Work Girl is the data controller for all data collection processes.

When do we collect your personal information

Whenever you visit our Site we will automatically collect personal information from you through a variety of methods. This will be when you:

  • Create an account on our Site
  • Place an order through our Site
  • Complete forms on our Site, for example our customer enquiry form or enter a survey or competition
  • Subscribe to our mailing list
  • Contact us via telephone or email or through social media (e.g. Facebook, Instagram etc.)
  • Apply for a job with us if online or through LinkedIn

In addition, we will automatically collect cookie information about your device and details of your web browser e.g. your IP address, the date and time zone, and some of the cookies that are installed on your device for e.g. the individual web pages or products that you have viewed, or the search terms that you have used on the Site and how you have interacted with our Site. We refer to this automatically collected data as your ‘Device Information’.

When we talk about your “Personal Information” in this Privacy Policy, we are talking both about your Device Information and your Order Information.

What type of personal information do we collect

The information we collect from you will be to support your order and will include your:

  • Address and postcode
  • Email address and contact telephone number or mobile number
  • Account password for logging on to your account
  • Your card and invoice details
  • Your billing address and shipping details

All this information will be collected to confirm your order and dispatch the items to you as soon as possible.

We will only ever collect this information whenever:

  • You have signed up to our services or accessed our services or
  • We have partnered with third parties to help us provide a service to you e.g. screening merchants, payment merchants etc.

How will we use your information

All this information (known as your ‘Order Information’) will be collected to form a contract with you and Work Girl to:

  • Verify your identity
  • Fulfill your order
  • Collect payment and make refunds
  • Send you a receipt notice of your order
  • Communicate with you (either via email, SMS text or any apps we may have) and to provide good customer care;
  • Screen for potential fraud or crime;
  • Fulfill marketing preferences you have provided through our newsletter
  • Protect and defend our legitimate business interests

We will use your Device Information to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimise our Site (for example, by generating analytics about how our customers browse and interact with the Site, and to assess the success of our marketing and advertising campaigns). Data to be collected will include:

  • To administer and monitor our site to ensure the content is correct and effective for your device
  • To analyse feedback on our products and services

Who we share your personal Information with

We will share your information with:

  • Our service providers who help us provide services to you, for example Shopify power our online store – more information on how Shopify uses your personal information can be found at: https://www.shopify.com/legal/privacy. Royal Mail is used to fulfil the delivery and shipping of your goods whilst Shopify Payments is used for the payment of our orders.
  • We also use Google Analytics to help us understand how our customers use our Site - you can read more about how Google uses your personal information at: https://www.google.com/intl/en/policies/privacy/. You can also opt-out of Google Analytics here: https://tools.google.com/dlpage/gaoptout.
  • If you choose to provide feedback on your transaction we may choose to share this information anonymously to enhance our customer service and experience.
  • Whilst you are a member of our mailing list we may share your information with trusted non-core service providers, such as marketing partners we have carefully selected to deliver incentives to participate in offers, polls, surveys, analysis or research, all of which assist us in enhancing our services. They are not permitted to use your information after you unsubscribe.
  • We may be required to share your personal information where we have to comply with applicable laws and regulations e.g. we have to prevent, investigate or take action in respect of suspected fraud, crime, or any illegal activities, any potential threats to the physical safety of others, the violation of our terms and conditions and any other agreements related to our service or where we have to respond to court orders, subpoenas, search warrants or any other lawful request for information which we might be required to receive, or otherwise required in order to protect our own legitimate business rights e.g. defending our legal rights and claims.

Behavioural Advertising

In addition, we also use your Personal Information to provide you with targeted advertisements or marketing communications we believe may be of interest to you. Opting out of our Newsletter

If you have subscribed to our newsletter you can simply withdraw from this at any time. This can be done by: 

  • Updating your account settings
  • By clicking on the ‘unsubscribe’ link in any email
  • Or by contacting our Customer Services Team 

Once you do this, you will receive an update on your profile to ensure that you don’t receive any further marketing messages from us. The update may take a couple of days to appear on your account. However, this request will not stop any service order or request updates.

Selling data

We do not sell your personal data to any third parties. We want to maintain your faith and trust in us that we are a secure business.

Do not track

Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

Your legal rights

If you are a UK/European resident, you have a legal right to access personal information we hold about you and to ask about how you can correct, update or delete your personal information. You also have a right to make an independent complaint to the UK's Information Commissioner Office (ICO). Data transfers

If you are a customer of our website, please note that your information will be transferred outside of Europe, including to Canada and the United States. Where your information is transferred to locations outside of the EU we will always take steps, wherever possible, to ensure that your data and rights are protected through the methods we have approved within the relevant Data Protection laws. 

Data retention

We will only ever retain information when we have a need to do so. Any orders placed through the Site will be maintained as your ‘Order Information' for 7 years to comply with our legal obligations or until you ask us to delete this information (if appropriate). After this time, your data will be permanently deleted from all of our systems and back-ups. If you wish to set up an account after this period then this will be treated as a new account and your old transaction history will not be available.

We will only retain marketing subscription information until you change your mind.

We may however, have to hold your information passed this retention period where we have to defend our legal or legitimate rights, even if your account is closed.

How we store your information

Your personal information will be processed in a secure environment and will be kept on a secure server provided by Shopify. Any information that you give us will be handled accordingly to industry standards in information security and will be PCI DSS compliant and encrypted using secure server technology.      

Once we have we have received your information, your information will be protected using strict procedures and security features to prevent any unauthorised access, loss, interception, damage or theft to your data. We require our suppliers to do the same.

Where we have given you a password (or where you have chosen one) to access certain parts of this Site for accessing your account, you will be responsible for keeping this password confidential. We ask that you do not share your password with anyone. If your password becomes breached please either change it online or contact us immediately.

We do however, point out that no method of transmission over the Internet is 100% secure. Therefore, we cannot guarantee the absolute security of your personal information. However, annual audits are performed to ensure all data transfers and data handling are secure.

Sensitive personal information

We do not seek to collect sensitive personal information (i.e. information relating to your race or ethnic origin, political opinions, religious or other beliefs, trade union membership, physical or mental health, sexual orientation or criminal records) unless it is for an employment matter. We ask that you do not provide any such information to us.

Changes to policy

Occasionally, we may update this Privacy Policy from time to time in order to reflect, for example, any changes in our practices or other operational, legal or regulatory reasons. This will be communicated to you by the best possible vehicle, where it is appropriate to do so.

As a business we take security seriously. Action will be taken where we suspect our data is being corrupted or violated.
